This policy explains the information collected through the RoomRead website and early-access process.

Information we collect

We may collect information you submit through an early-access form, including your name, email address, organization, and stated use case. Early-access product use may involve account information, calendar metadata, meeting context, transcripts, summaries, settings, support communications, and usage or diagnostic information, depending on the features you choose.

How we use information

We use information to evaluate and administer early access, provide and improve the service, personalize approved context, support users, protect the service, understand product performance, communicate about RoomRead, and comply with legal obligations.

Meeting information and consent

Users are responsible for providing appropriate notice and obtaining consent before capturing or transcribing a conversation. Users should not submit information they are not authorized to process.

Service providers

We may use carefully selected providers for hosting, authentication, transcription, artificial intelligence, analytics, communications, calendars, payments, and customer support. These providers are bound by confidentiality and data-protection obligations and may process information only to deliver services on our behalf.

Google user data

Connecting Google Calendar is optional. If you choose to connect it, we request read-only access (the https://www.googleapis.com/auth/calendar.readonly scope) so we can read your upcoming events — titles, times, attendees, descriptions, and locations — to show your schedule and prepare meeting briefs. We cannot create, edit, or delete anything on your calendar.

RoomRead's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, data obtained from Google Calendar is:

  • used only to provide and improve the user-facing features described in this policy;
  • never sold, and never used for advertising;
  • never used to develop, improve, or train generalized or standalone AI/ML models;
  • never transferred to others except as needed to provide the service, comply with applicable law, or as part of a merger or acquisition; and
  • never read by humans except with your explicit consent, for security purposes, to comply with applicable law, or when the data is aggregated and anonymized.

You can disconnect Google Calendar at any time inside RoomRead, or revoke access directly from your Google Account permissions. Revoking access stops all further access and removes the stored Google tokens.

Retention, deletion, and security

We intend to retain information only as reasonably necessary for the service, customer instructions, legal requirements, security, and legitimate business purposes. We maintain administrative, technical, and organizational safeguards designed to protect information, and we honor account deletion and data-removal requests in accordance with applicable law.

Your choices

You may choose not to submit the early-access form. You may request access, correction, export, or deletion of your information, and you can manage connected accounts and communication preferences, consistent with applicable law. To exercise these choices, contact support@roomread.io.

Changes

We may update this policy as the service evolves. Material changes will be posted on this page with an updated effective date.
